Clarify everything from the hotel name to the meeting entrance
Save the venue name, room and organiser's contact details from the invitation. Your accommodation and meeting venue may be different properties. Even within the same hotel, the conference-centre entrance, registration desk and room reception may be in different places.
For example, Elexus publishes a separate meeting and conference area on its official website; its contact address is in Çatalköy. This shows that “a meeting in Kyrenia” does not imply an address near the historic harbour. Request the entrance location for your event; do not use an assumed starting point in the town centre.
Separate transport needs into four programme types
| Programme | Check first | Identify additional needs |
|---|---|---|
| A conference at one hotel | Arrival and departure transfers matching your flights | Will you visit another address outside the event? |
| Different meetings on the same day | Each meeting's address, duration and number of participants | Waiting, luggage and journeys between addresses |
| Travelling with an accompanying person | Whether the hotel and transfer cover two people | How one of you will travel while the other attends meetings |
| A free day after the conference | Check-out and return flight | The order of leaving luggage, sightseeing and car return |
If you have a transfer, find out which airport it serves and the waiting and delay contact arrangements. A shared shuttle and a private vehicle are different arrangements; assess how departure times or occupancy requirements affect your programme.
Order meetings at different addresses in one direction
Do not allocate the entire gap between meetings to driving. Leaving the room, reaching the vehicle, finding the next venue's entrance and registering also take time. Save the next contact's details in case a meeting overruns. Do not treat the map's driving time as a guarantee of reaching an appointment.
If collecting several people from different addresses, write down the pickup order and luggage beforehand. Do not assume parking or permission to wait at the main gate. Do not leave documents or work devices visible in the car; separate a small day bag from your large suitcase.
An accompanying person's day and time after the event
One of you need not spend the whole day waiting near the conference room while the other attends. With one car, however, establish who has the key and where to meet in the evening. A venue shuttle or walk near the accommodation may suit you; consider separate transport needs together.
For a full free day, choose an area from the short-break plan. With only a few hours, consider a short part of the central sightseeing route. If drinking alcohol at dinner or a reception, remove driving from the programme; arrange the return through the organiser, hotel or a taxi confirmed in advance.
Request a vehicle quote based on needs, not your job title
Share passenger numbers, luggage, work equipment and the day's addresses. A higher-category car does not automatically solve the group's luggage needs; compare comfort, passengers and luggage. If you need an invoice or payment document, ask before booking which details must be supplied.
Do not include a specific ERM corporate package, chauffeur service, free venue delivery or different return location in your programme without confirmation. Hotel-delivery preparations clarify the address; the Ercan transport comparison clarifies the first and last journeys. Check the rental period, handover area and total price offered for your dates and model.
Going directly from the final meeting to your flight
Find out whether you can use the room after the final session and where to collect your luggage. Work backwards from the flight, transfer or car-return time. Do not add shopping or another meeting by treating the scheduled event finish as certain.
Collect arrival and departure flights, the venue's full name, entrances, passengers and luggage in one booking message. This lets the transport provider assess your actual needs instead of making an incorrect delivery plan from “Kyrenia conference” alone.
